Request for Printing Job Form
Guidelines for Requesting a Print Job
Printing job requests should begin with the Printing Coordinator. The Printing Coordinator advises people on the amount of time a job request should take, estimates the cost, determines a priority for the job, and makes any copy changes to keep printed materials consistent with the Communication Plan Guidelines (President’s Bulletin - 10R, July 2000)
Once the cost is determined, a printing job order form must be completed by the individual requesting the print job. The Printing Requisition and Job Order form can be downloaded from the HCC Intranet (home.hindscc.edu) or a pad of forms can be sent to you in campus mail. One form should be filled out for each print request. If a blanket purchase order has not already been submitted to the HCC Printing Coordinator (Vendor #1040391), then a purchase order for the exact amount of the job(s) requested or a blanket purchase order should be submitted. When a department requests a purchase order, the account number object code used should be 7132 - Printing and Reproduction (in-house). Example, 1-2345-7132-0. The account number, purchase order number, and requester’s signature must be on the printing job order form, or the request will be returned to you. Send requests through campus mail to the HCC Printing Coordinator - Raymond Campus.
When a job request is accepted, the next step is layout/design, which is done in the Printing Coordinator’s office. Once the layout is complete, it will be sent to the individual requesting the job for proofing. It is your responsibility to make any corrections, additions, deletions, changes, etc., then return the proof to the Printing Coordinator’s office with instructions to either print as is or to make corrections.
After the approved proof has been returned, the job order will then be processed in one of three ways: Small quantity, one-color print jobs (such as letterhead, forms, business cards, programs, note pads, invitations, etc.) can be printed, cut, folded, or padded in the Printing Coordinator’s Office.
The Graphics and Print Communications program on the Raymond Campus will periodically produce print jobs for the college using it as a learning experience for the offset printing students. A minimum of two (2) weeks must be given to complete a job once it reaches the Graphics and Print Communications department. Printing requests should NOT be taken directly to the Graphics and Print Communications Instructors. If there are any questions about a job being printed by the Graphics and Print Communications department, the Printing Coordinator should be contacted - not the instructors - so the learning experiences of the students will not be interrupted.
Many print jobs, once typeset or designed, will be sent to an off-campus printer by the Printing Coordinator. All design and typesetting will be done in the Printing Coordinator’s office, cutting the cost of printing.
Upon completion of a printing job, the Printing Coordinator is responsible for getting the jobs delivered to the department or individual requesting it, billing the department’s purchase order, and sending a purchase order balance sheet.
The Printing Coordinator may suggest a substitute paper or ink for economic and time reasons. When a particular paper or ink is insisted upon, it may require more time to complete the print request. A minimum of two (2) weeks must be given to complete a job. The Printing Coordinator will be realistic in advising individuals on the amount of time a job will require. For example, a letterhead or business card does not require as much time to complete as a twenty-four page booklet.
